Coaching on ATC Courts

  1. Applewood Tennis Club has one professional coach, Herbert Duff, who is the only individual permitted to provide coaching on the ATC courts.

  2. Coaching by any other member of the club to another member or guest is not allowed, except in the case where coaching is between family members. The Board will take swift action upon being notified of any unauthorized coaching activities, imposing a penalty of 3 weeks of no court time bookings for both the member who is coaching and the member or guest receiving the coaching.

Online Booking Rules

  1. Play time is between 8:00 a.m. and 11:00 p.m.

  2. Booking slots are as follows:

    • Singles: 60 or 90 minutes

    • Doubles:60, 90, or 120 minutes

  3. All courts must be booked through the online booking system by logging into your member account.

  4. Members may book courts up to seven (7) days in advance.

  5. Each member may hold a maximum of six (6) advance bookings per week, including no more than three (3) prime-time bookings.

  6. Back-to-back bookings are not permitted.

  7. Courts may be booked up until the start time of play.
    Example: At 3:01 p.m., an unreserved 3:00–4:00 p.m. court can no longer be booked online.

  8. All players must be listed at the time of booking:

    • Singles bookings require 2 names

    • Doubles bookings require 4 names

    • Guest names must also be included

    • Only listed players may use the court

  9. Walk-insare permitted only if courts are not reserved.

    • Walk-ins do not count as bookings

    • Online bookings always take priority

  10. A confirmation email will be sent to all players listed on the booking. Members are responsible for ensuring their contact information is current and check junk/spam folders if confirmations are not received.

  11. Each guest may visit a maximum of four (4) times per season and must be accompanied on court by a member.

  12. When a member selects “Guest” during booking, the system automatically applies a $10 guest fee to the member’s account and guides them to complete online payment (cash payment: $15).

  13. Board-approved organized activities such as tournaments, round robins, leagues, clinics, lessons, or maintenance have priority use of courts. The Board will make every effort to schedule these in advance so courts are unavailable for booking; however, during tournaments and leagues, completion of matches takes priority over member bookings.

  14. After 6:00 p.m., juniors may only play if an adult member is present at the club.

  15. All players must vacate the court promptly when their booking time ends if the next time slot is reserved.

  16. No more than four (4) players are allowed on the court at any time, except for lessons, clinics, or summer camp.

Cancellations, No-Show and Penalties

  1. Bookings may be cancelled without penalty up to 1 hour before the start time. Members must cancel their own bookings online.

  2. Same-day cancellations should occur only due to inclement weather or unforeseen circumstances and will be monitored.

  3. Failure to cancel a booking will result in a $5 fee per member listed on the booking.

  4. Courts not claimed within 20 minutes of the scheduled start time may be released by the club attendant. A written warning will be issued for a no-show.

  5. Continued no-shows will result in:

  • 7-day suspensionof booking privileges

  • Repeated violations may lead to a 1-month suspension

  • During a suspension: Members cannot access the booking system, Members’ names cannot be added to bookings and all existing bookings will be cancelled.

  • Continued abuse of booking rules or other club policies may result in termination of membership.

Club Etiquette & Additional Rules

Courtesy, cooperation, and good sportsmanship are expected at all times. Tennis should be enjoyable for everyone,please be respectful of players, spectators, and neighbours.

Behaviour Guidelines - Do not:

  • Use loud, profane, or abusive language

  • Embarrass or criticize weaker players

  • Throw or hit equipment in anger

  • Shout or create excessive noise

  • Mobile phones must be kept on silent mode while on the courts.

  • Proper tennis attire, including non-marking tennis shoes, must be worn at all times.

  • Do not walk behind a court while a point is in play

  • Wait until play stops before returning stray balls

  • If a ball creates a safety risk, call “Ball on court”

  • If using a basket of balls, use only courts with a net divider

  • Ball machines are not permitted

  • Encouraging Environment – Please be patient and supportive of beginners. Remember: tennis is for fun, fitness, and enjoyment.

Pets

  • Pets are not permitted on the courts under any circumstances

  • Pets on club grounds must be kept on a leash at all times and not left unattended

  • Please be considerate of members who may be uncomfortable around animals

  • The club is not responsible for pets on the premises

Bicycles

  • Bicycles, scooters, and similar items are not allowed on the courts

  • Bikes must be placed in the designated bike rack outside the courts

  • Bikes are left at the owner’s risk

  • Members are encouraged to use locks, especially during events when gates may be open

Club Attendants

  • Attendants must be treated with courtesy and respect

  • They are responsible for enforcing rules and Board decisions

  • Concerns should be raised calmly with attendants or emailed to: applewoodtennisclub@gmail.com

  • Rude or disrespectful behavior toward attendants may result in disciplinary action

  • Always treat fellow members, guests, and staff with courtesy
